It’s very hard to keep up with all the little things that keep Studio47 running. CheckLists make this possible, and give everyone a way to stay on the same page about what’s happening. There are two types of checklists.
1) Every staff member has a check list for themselves that is basically just an aggregation of things that have been assigned to them in meetings. These CheckLists are maintained basically through emails that go out before and after meetings: people get assigned things in a meeting, and then after the meeting an email goes out that summarizes all that so everyone knows what’s going on.
2) There are master CheckLists for each event that get run through each meeting to make sure that what needs to happen for an event is happening. You should write down who’s doing what on these lists, and then just ask them how it’s going every meeting and if they need help or what. Then, if they haven’t done it, write it down on the meeting WrapUp sheet and send it out after the meeting.
Believe me, this beats the living hell out of trying to remember what needs to happen and figure out if anyone is doing it.

Planning and managing events inside of Studio47 is extremely important to keeping the club running. As the person in charge of this, the EventsAdministrator basically needs to make sure that
* All events get put onto a calendar that everyone has access to (e.g. online)
* Everything that needs to happen for an event (forms, people contacted) is happening.
Use the group calendar to keep track of all events, and make sure this calendar stays up to date. We will have this calendar in front of us at all meetings for planning, so it’s crucial that it be accurate.
To get the ball rolling for an event, you need to do two things. First, send out a PublicityPacket. This PublicityPacket is a simple, streamlined, way for everyone to stay on the same page about what’s going on, and to get the information that they need quickly.
Second, you need to open CheckLists online for an event. These checklists will be reviewed at every meeting to make sure that things are happening on time, so it’s crucial that they are up to date. Each checklist for each event will be different, but they boil down to a few basic elements: reserving the space, event-specific details, and advertising. For new events that we’ve never done before, we’ll make a checklist in meetings, and then add to it as necessary as we go. Here are some example checklists for standard events.

Meetings function to make sure everyone is on the same page, and allow a space for ideas to be shared and developed. They are also the OfficeAdministrator 's tool for making sure that the calendar is accurate and that things are getting done on time, and as such are kind of their territory. Meetings can be run however the club wants, but here is a basic structure that integrates the CheckLists and which we strongly suggest using as a base, and then building from.
Meetings should be based around an agenda drawn heavily from the event CheckLists, and then book-ended by emails that organize what needs to be done by person and are sent to all staff. That way, everyone kind of has a heads up about what they’re supposed to be doing, and by the next meeting they should have finished those tasks and should be ready for new ones. That’s the basic idea: the OfficeAdministrator uses meetings to run over the CheckLists and then make sure to send a WrapUp email afterwards to the staff so that people will remember stuff. The OfficeAdministrator should also run through the calendar and make sure there are CheckLists for every event that’s on the calendar, so that nothing gets forgotten. Beyond that, try to make sure that everyone who has an idea or complaint or whatever speaks their mind, and that if an event is proposed and people are serious about it, you pick a date then and draw up a [[check list|CheckLists]]. It may seem a little silly to immediately do this, but if you don’t, there are exceptionally good odds that it’ll be forgotten until the last minute.

Basically your job is to be the taskmaster and to use meetings to make sure everything is getting done. In order for Studio47 to work, everyone on campus has to know about it. a PublicityCoordinator 's job in essence is very simple: make this happen. To do this, they need to do both general publicity and specific publicity for events. How exactly to publicize stuff is flexible: they should feel free to be creative and think of cool new publicity stunt type things to do, but they’ll have to work with everyone else and make sure that however you want to do it, publicity gets done.

Generally speaking, the following is appropriate publicity for an event: a [[facebook event]] created two weeks out, [[digestering]] starting a week out, and TableTents for medium to large events.
Any event should have some [[digestering]] and a [[facebook event]] - they take like 5 min to do and can really help!

The PublicityCoordinator works very closely with the EventsAdministrator. They should expect to receive the information they need to publicize an event via publicity packets. These publicity packets are emails formatted to be really easy to read and deal with. Use these to fill out [[GA forms]] or make [[facebook events]]/[[facebook groups]] or whatever.

Evan Stalker is a Pomona junior who has done our video-djing for Videoflow and without whom we are lost this semester (he's in Cape Town...

Sarah Ruiz is a Pomona junior majoring in Politics who has worked on various documentaries in the past, as well as the 2007 Insomnia Festival film elsewhere on the site. She is also an assistant manager at the store and an occasional tour guide. In past semesters, she has organized large-scale film screenings on the 5Cs. Right now she's working around copyright law by showing private screenings in the Studio 47 space during office hours.
Sarah Lysogorski is a Pomona junior who watches Gossip Girl and drinks Pinkberry. She is attempting to be vegan at the moment.

One of the things that makes Studio47 so cool is its staff. In addition to our traditional staff dinners we have a few secret traditions that transcend the simple VideoFlow.
Studio47 is a ServiceBasedClub, which means that without a good staff the club will die depressingly fast (it's happened twice to Studio47 already!). After semesters of experimentation, Studio47 has found a structure that, for the time being, seems to work best for the busy and hectic lives its college student staff leads. Everyone enjoys an equal voice in the club, allowing for new members to let their ideas be heard by everyone. We have no official hierarchy of authority or responsibility--everyone does what they can, when they can. Due to the way PomonaCollege hires students, OfficeHoursStaff is our only paid position (trust me, we've tried to change it - see GettingMoney)

Thankfully, Studio47 staff are not the only people with cursory film knowledge on campus. If you know how to do something cool film/video related and would be willing to teach please ContactUs!
People forget things, they are not perfect. This is why the OfficeAdministrator sends out a short email after every meeting to the Studio47 Staff detailing what everyone is supposed to do and by when (this todo list is generally taken straight from the CheckLists, with any extra notes from the meeting added in). This insures that no one has an excuse of forgetting, and nothing can slip through the cracks.
